UX agency Warsaw
We run projects for Warsaw companies remotely and meet on site
In Warsaw we meet at Brain Embassy, by prior arrangement. We run workshops at our office in Wrocław, at Brain Embassy or online, and for a large team also at the client's site. We do not have our own office in the capital: the team works in Wrocław and runs projects remotely.
Who it's for
When a Warsaw company chooses a team from outside the city
The contractor’s address stops mattering when one of three needs appears.
01
The price has to be known upfront
The UX/UI audit has fixed packages from PLN 4,500, and hourly work costs PLN 250 net. The estimate does not depend on the city where the client operates.
02
The team works remotely anyway
The Product Owner, developers and stakeholders are in different cities. The contractor is expected to join the existing rhythm of meetings, not to invite everyone over.
03
The project requires confidentiality
The product operates in a regulated sector or has not launched yet. The non-disclosure agreement is signed before any details are shared.
Someone answers to the board for the choice of contractor, so the work starts with a small stage: an audit or a workshop. After it there is a result that can be assessed, and only then is the decision about further work made.
Services
A UX agency designs. Here the design ends with delivery
From diagnosis, through design and build, to maintenance. We state the scope and the price or billing model of each service before the work starts.
01
Advisory & strategy
A diagnosis of the product and the decisions that are made before the budget goes into delivery.
02
Design
We design products that solve the right problem and test them before they are built.
03
Delivery & team
We take the design to a working product and strengthen the client's team.
04
Maintenance & optimisation
Ongoing care for the product after launch: data, stability and quality over time.
How we work
From diagnosis to a working product
We work in stages. After each one, the decision about the next step belongs to the client team.
01
Diagnosis
We talk to the team and to users and look at the data. Outcome: a list of problems ranked by impact on users and the business.
02
Design
We choose one direction and design it to prototype level. Outcome: a design that can be tested with users before it is built.
03
Development
We build what we designed, in short cycles with a weekly review. Outcome: a working product.
04
Optimisation
We measure how people use the product and improve it after launch. Outcome: the next version, based on data from the previous one.
After launch we go back to research, so each new version starts from what the previous one taught us.
Why Squares
What sets this way of working apart
01
One team from diagnosis to delivery
One team leads the diagnosis, the design and the delivery. Product knowledge is not lost in handovers between contractors.
02
Prices known before the decision
The audit comes in three fixed packages from PLN 4,500. The other services have a stated price range or a described billing model.
03
A decision after every stage
Every stage has its own scope, deadline and result. After each one the client team decides whether and how to continue.
04
Confidentiality and regulated sectors
Part of our work is done under NDA, for international organisations and in the medical sector. We sign a non-disclosure agreement before the first conversation about product details.
Warszawa
Remote day to day, on site when it makes a difference
Day-to-day work is remote: short cycles, a weekly review and documentation in which decisions are recorded. The client team sees progress every week, not only at the end of a stage.
We run the product workshop at our office in Wrocław, at Brain Embassy in Warsaw or online. For a large team we can hold it at the client's site. The place and dates are agreed together with the stage schedule.
The team has worked in Wrocław since 2017. In Warsaw we meet at Brain Embassy, by prior arrangement. A meeting at the Wrocław office, in Concordia Design on Wyspa Słodowa, is also possible.

Questions
Frequently asked questions
Does Squares have an office in Warsaw?
We do not have our own office in Warsaw. The office and the team are in Wrocław, in Concordia Design on Wyspa Słodowa. In Warsaw we meet at Brain Embassy, by prior arrangement. We run projects for Warsaw companies remotely, and workshops take place in Wrocław, at Brain Embassy or online, for a large team also at the client's site.
How much does working with a UX agency cost for a Warsaw company?
The same as for any other company. The UX/UI audit comes in three fixed packages from PLN 4,500, hourly work costs PLN 250 net per hour, and larger projects are priced after a conversation about scope. The price of a stage is known before the decision to start it.
What does remote cooperation with a team from Wrocław look like?
The work runs in short cycles with a weekly review. Every stage has its own scope, deadline and result, and decisions are recorded in the project documentation. Meetings are held online, in a rhythm agreed at the start of the stage, so the client team sees progress as it happens.
Where do workshops and meetings take place?
We run workshops at our office in Wrocław, at Brain Embassy in Warsaw or online. For a large team we can come to the client's site. In-person meetings are part of the stage plan and their number follows from the scope of work.
How does a UX agency differ from a company that also delivers?
A UX agency is responsible for research and interface design. A design and delivery company is also responsible for what happens next: building, launching and maintaining the product. At Squares one team leads the diagnosis, design and delivery, so product knowledge is not lost in handovers between contractors.
Where to start if the product is already live?
With a UX/UI audit. In the Focus package, within a week it produces a report that shows where the user experience breaks down and what to fix first. The audit has a fixed price from PLN 4,500, and its result makes it possible to price further work on facts instead of assumptions.
Can an NDA be signed before talking about the product?
Yes. The non-disclosure agreement is signed before the first conversation about product details. In longer cooperation a framework agreement follows, setting the standing terms, and further work is ordered separately. Some of our projects are run under NDA for international organisations and the medical sector.
